PASTORAL MEETING MINUTES

St Michaels Pastoral Council
Meeting Minutes
October 2, 2002

The meeting opened at 7:10 pm. Recording Secretary's Note: Matt Regan who is our Building Committee Chair, took the Council members outside to see what has happened with the building and what building will soon begin. The opening prayer was by Mary Ann Grubbs. Mary Ann said a prayer outside on the graded area of the new building. It was a very moving prayer. The opening prayer for the meeting on November 6, 2002, will be by Tamra Barton. The minutes from the last meeting were approved. The motion was made by outgoing Vice President Frank Pesce and seconded by Vince Ippolito.

President's Report - Mary Ann Gehle:

Recording Secretary's Note: President Mary Ann Gehle brought the meeting to order after all council members were seated from being outside. President Mary Ann introduced the incoming new members to the council. George Bardsley, Kathy Knutson, Dennis Moore, Tony Nelson, Jody TaTa, and our new Youth Representative, Kristin DeIuliis.

President Mary Ann said that she would keep the meeting short. She asked if the G.I.F.T. Campaign Chair was present. He was not present so the report for that committee will be done next month.

There will be a meeting held at President Mary Ann Gehle house on October 9th, starting at 7:00 pm for all the new council members. President Mary Ann will be giving all the new members at the meeting a copy of the constitution, a copy of Renewing the Vision, and our History. October 13th, is a mandatory workshop for all Council Members with Charlie Hiebler. All council members are urged to attend this Sunday's Mass at 12:30 pm for the commissioning of this years Pastoral Council. Written report submitted. (See Attachment A)

Vice President's Report - Frank Pesce:

Recording Secretary's Note: As outgoing Vice President, Frank Pesce ran the elections for officers. Before asking for nominations, Frank read from the constitution and by-laws, the official obligations and expectations of each office. Frank placed a copy of what was read in everyone's mailboxes.

Frank read Article IV, sections 1,2,3,4,5, and 6. ( See Attachment B). The Pastoral Council Officer Elections goes as follows:

Information - Maintenance:

Buzz Clagett gave the Maintenance report (Attachment B)

He asked for volunteers for the Maintenance Committee to help assemble an operations & maintenance manual for all major appliances and work performed on the existing parish buildings.

George Bardsley and Don D'Valle volunteered to help.

The operations & maintenance manual will help determine future maintenance budget expenditures by recording when items have been installed or replaced, warranty, and will have all service agreements.

An operations & maintenance manual on the new building will be provided by the contractor.

He also reported that ant and termite problems have been referred to a new Pest Control Company.

No major maintenance expenditures are projected at this time.

Fr Mike approved the hiring of a contractor to repair the small church doorway.

The tile floor in the hall has some asbestos material in it. It is harmless unless sanded or ground down. To facilitate a general cleaning of the floor, a company will do this who has completed the required course on how to do it safely. An asbestos class has to be taken in order to handle this type of material.

Director of Religious Education - Amy Sorensen:

The Saint Francis Production was well attended. All the seats were filled. It was delightful. There was a welcome dinner before the production and some of the guests stayed to see the show. I was a little worried about the seating, because I received several phone calls about people coming from Lancaster, PA, Washington D.C., I didn't know how many would actually be attending. They made an appeal for contributions to help them finance a full-length feature film they wish to produce. I did not know if the children who attended the show found it difficult to understand the actor, because sometimes I found it difficult.

No Report. President Mary Ann Gehle asked George Yager when the next Finance Committee Meeting would take place? George said the meeting will be on October 10th.

President Mary Ann Gehle Remarks:

Has everyone read the Planning Report that I had placed into your mailboxes? Does anyone have anything more to add to or subtract from this report? I need to go ahead and finish this report so that it is given to the committees, and organizations this month. Mary Fulmer said that she had already worked on some of the objectives.

I am passing around an updated address list. Could each of you look the list over and make any changes that are needed. I am asking that each of the committees/organizations bring a written report to the meeting. Also, any issues that need to be discussed or resolved also be brought to the attention of the Executive Committee, for the inclusion to the agenda for the following months. This will help the Pastoral Council in its transitions to move ahead.
